1. Overview
This Shipping Policy outlines the terms and conditions for shipping products purchased from Emerald Lantern LLC, doing business as HerbanVault. By placing an order, you acknowledge and agree to the terms of this Shipping Policy.
Please read this policy carefully before making a purchase. Shipping times, costs, and availability are subject to change based on carrier performance, fulfillment partner capacity, destination, and other factors beyond our control.
2. Shipping Locations
We ship within the United States only, to locations where the sale and shipment of our products is legally permitted.
We currently ship to:
- All 50 U.S. states (where legally permitted)
- PO Boxes (USPS delivery only)
- Military addresses (APO/FPO/DPO)
- Alaska and Hawaii (additional transit time may apply)
We do NOT ship to:
- International addresses (including Canada and Mexico)
- U.S. Territories (Puerto Rico, Guam, U.S. Virgin Islands, American Samoa, Northern Mariana Islands)
- Jurisdictions where the sale of smoking accessories is prohibited or restricted by local law
Certain states, cities, or local jurisdictions may restrict the shipment of smoking accessories and paraphernalia. Orders placed to restricted areas may be canceled and refunded. It is your responsibility to ensure that your purchase and possession of our products complies with all applicable local, state, and federal laws.
3. Processing Time
Orders are typically processed within 1-3 business days after payment confirmation. Processing time is the time it takes for us to prepare your order for shipment and does not include shipping transit time.
Processing schedule:
- Orders are processed Monday through Friday, excluding federal holidays
- Orders placed on weekends or holidays will begin processing the next business day
- Processing times may be longer during high-volume periods, holidays, promotional events, or supplier delays
You will receive an email confirmation when your order is placed and a separate shipping confirmation with tracking information once your order has been shipped.
Please note that processing time is separate from shipping transit time. Once your order ships, delivery time depends on the shipping method selected and your location.
4. Shipping Methods and Delivery Times
4.1 Standard Shipping
Standard Shipping is our default shipping method.
- Estimated Delivery: 5-10 business days after shipment
- Cost: Calculated at checkout based on destination, package weight, and fulfillment partner rates
- Tracking: Included with all orders
Delivery times are estimates only and are not guaranteed. Actual delivery times may vary based on carrier performance, destination, weather conditions, and other factors beyond our control.
4.2 Expedited Shipping
Expedited shipping may be available on select products. Availability and pricing are shown at checkout when available.
Important notes about expedited shipping:
- Expedited shipping is subject to availability and may not be offered for all products or destinations
- Expedited shipping times begin after the order is processed and shipped (1-3 business days processing time still applies)
- Expedited delivery is not guaranteed and is subject to carrier performance
- Expedited shipping costs are non-refundable
4.3 Free Shipping
We offer free standard shipping on orders over $75 (before tax and after discounts).
- Free shipping applies to standard shipping only
- Free shipping is available for domestic U.S. addresses only
- Free shipping does not apply to expedited shipping methods
- Order total must be $75 or more after discounts and before tax to qualify
- Free shipping promotion is subject to change without notice
5. Shipping Carriers
We ship using USPS, UPS, FedEx, and other regional carriers, depending on the fulfillment partner, destination, and shipping method selected.
Carrier selection:
- The shipping carrier is determined by our fulfillment partners based on efficiency, cost, and destination
- Customers do not select the specific carrier
- All shipments include tracking regardless of carrier
- PO Box addresses are shipped via USPS only
We work with multiple fulfillment partners to ensure fast and reliable delivery. The carrier used for your order will be indicated in your shipping confirmation email.
6. Shipping Costs
Shipping costs are calculated at checkout based on:
- Destination address
- Package weight and dimensions
- Shipping method selected
- Fulfillment partner rates
Shipping costs are displayed before you complete your purchase. You will see the exact shipping cost at checkout before submitting payment.
Important notes about shipping costs:
- Shipping costs are non-refundable unless the return is due to our error (defective product, wrong item shipped, etc.)
- Orders over $75 (before tax) qualify for free standard shipping
- Additional fees may apply for Alaska, Hawaii, military addresses, or remote locations
- Shipping costs do not include customs duties, taxes, or import fees (not applicable for domestic U.S. shipments)
7. Order Tracking
All orders include tracking information once shipped. Tracking details are sent via email once the order leaves the fulfillment facility.
How to track your order:
- Check your email for the shipping confirmation message (subject line may include "Your order has shipped" or similar)
- Click the tracking link provided in the email
- Enter the tracking number on the carrier's website (USPS, UPS, FedEx, etc.)
- Log in to your HerbanVault account to view order status and tracking information
Tracking updates:
- Tracking information may take 24-48 hours to update after the shipping label is created
- Tracking updates depend on the carrier's scanning and update schedule
- If tracking has not updated within 48 hours of shipment, please contact us at support@herbanvault.com
Please allow adequate time for tracking to update before contacting us. Most tracking issues resolve within 24-48 hours as the carrier processes the package.
8. Delivery and Signature Requirements
8.1 Standard Delivery
Most orders are delivered without requiring a signature. The carrier will attempt delivery to the address provided and may leave the package at your door, mailbox, or designated safe location.
You are responsible for:
- Providing an accurate and complete delivery address
- Ensuring someone is available to receive the package (if signature is required)
- Monitoring tracking information for delivery updates
- Retrieving packages promptly after delivery
8.2 Signature Confirmation
Signature confirmation is not required by default. However, customers may request signature confirmation for high-value orders where available.
To request signature confirmation:
- Contact us at support@herbanvault.com before your order ships
- Additional fees may apply depending on the carrier
- Signature confirmation may not be available for all shipping methods or destinations
If signature confirmation is required, an adult (18+ or 21+ depending on local requirements) must be present to sign for the package. If no one is available to sign, the carrier will leave a notice and attempt redelivery or hold the package at a local facility for pickup.
8.3 Age Verification at Delivery
Our products are age-restricted (21+). By placing an order, you confirm that you are legally permitted to purchase these products.
Carrier age verification at delivery may not be available for all shipments. Customers are responsible for ensuring compliance with local laws upon receipt.
If delivery fails due to age verification issues:
- Packages refused due to age verification issues may be returned to us
- Refunds, if issued, will exclude shipping costs
- You may be responsible for return shipping fees
We strongly recommend ensuring that someone 21 years of age or older is available to receive the shipment where required by law.
9. Restricted Shipping Addresses
9.1 PO Boxes
We ship to PO Boxes via USPS only.
If you provide a PO Box address, your order will automatically be shipped via USPS. Other carriers (UPS, FedEx) do not deliver to PO Boxes.
9.2 Military Addresses (APO/FPO/DPO)
We ship to military addresses (APO/FPO/DPO) via USPS.
Please note:
- Delivery times to military addresses may be longer than standard domestic shipping
- Estimated delivery time is 10-20 business days, but may vary significantly based on military mail routing
- Tracking updates may be limited for military addresses
- We are not responsible for delays caused by military mail processing
9.3 Alaska, Hawaii, and US Territories
Alaska and Hawaii:
We ship to Alaska and Hawaii. Please note that delivery times may be longer (typically 7-14 business days) and shipping costs may be higher due to distance and carrier fees.
U.S. Territories:
We do NOT ship to U.S. Territories, including Puerto Rico, Guam, U.S. Virgin Islands, American Samoa, and Northern Mariana Islands at this time.
9.4 State and Local Restrictions
Certain states, cities, or local jurisdictions may restrict the shipment of smoking accessories and paraphernalia. Orders placed to restricted areas may be canceled and refunded.
It is your responsibility to:
- Verify that your local laws permit the purchase and possession of our products
- Ensure that the delivery address is in a jurisdiction where our products are legal
- Comply with all applicable federal, state, and local laws
We reserve the right to refuse or cancel orders to any location where we determine, in our sole discretion, that the shipment may violate applicable law.
10. Delivery Issues
10.1 Incorrect or Incomplete Address
You are responsible for providing an accurate and complete shipping address.
If a package is returned to us due to an incorrect or incomplete address:
- We will contact you to verify the correct address
- You will be responsible for reshipping costs to send the package to the correct address
- Original shipping fees are non-refundable
- We may issue a refund minus shipping costs at our discretion
To avoid delivery issues, please ensure your address is:
- Complete (street address, apartment/unit number, city, state, ZIP code)
- Accurate (no typos or missing information)
- Up-to-date (not an old or previous address)
- A location where someone can receive packages
Address changes or corrections cannot be made after an order has shipped. Please double-check your shipping address before completing your purchase.
10.2 Failed Delivery Attempts
If the carrier is unable to deliver your package after multiple attempts, the package may be returned to us or held at a carrier facility for pickup.
What to do if you miss a delivery:
- Check the tracking information for delivery attempt notices
- Follow the carrier's instructions to schedule a redelivery or arrange pickup at a local facility
- Contact the carrier directly if you have questions about delivery attempts
- Contact us at support@herbanvault.com if you need assistance
If a package is returned to us due to failed delivery attempts, you may be responsible for reshipping costs.
10.3 Refused Shipments
If you refuse delivery of your package for any reason:
- The package will be returned to us
- Original shipping fees are non-refundable
- You may be responsible for return shipping fees
- Refunds, if issued, will exclude all shipping costs (original and return)
If you refuse delivery due to age verification issues (inability to prove you are 21+), shipping costs are non-refundable and you may be banned from future purchases.
11. Lost or Stolen Packages
Responsibility for packages transfers to the customer once delivery is confirmed by the shipping carrier. HerbanVault is not responsible for packages that are lost or stolen after delivery confirmation.
If your package shows as "delivered" by the carrier but you did not receive it:
- Check with neighbors, household members, or building management
- Look for the package in secure areas (porch, garage, mailroom)
- Verify the delivery address on your order confirmation
- Contact the shipping carrier to file a claim
- File a police report if you believe the package was stolen
- Contact your homeowner's or renter's insurance if applicable
We cannot issue refunds or replacements for packages marked as delivered by the carrier.
We recommend:
- Providing a secure delivery address where someone can receive the package
- Selecting signature confirmation at checkout for high-value orders
- Tracking your shipment and planning to be home when it arrives
12. Damaged Shipments
If your package arrives damaged, you must report it within 48 hours of delivery.
To report a damaged shipment:
- Inspect the package immediately upon delivery
- Take clear photos of:
- The damaged shipping box (all sides)
- The product packaging inside
- The product itself if damaged
- The shipping label
- Contact us at support@herbanvault.com within 48 hours with:
- Your order number
- Photos of the damage
- Description of the damage
- Tracking number
- Do not discard packaging materials until the claim is resolved
We will resolve damaged shipments by:
- Issuing a replacement shipment at no cost
- Providing a full refund to your original payment method
- Filing a claim with the shipping carrier on your behalf
Damage claims must be reported within 48 hours of delivery. Claims reported after 48 hours may not be eligible for replacement or refund.
13. Shipping Insurance and Liability
Shipments include standard carrier liability coverage. This coverage is provided by the shipping carrier and covers loss or damage during transit up to a certain value (typically $50-$100 depending on the carrier).
Additional shipping insurance:
- Additional shipping insurance may be available at checkout where offered by the carrier
- Insurance costs are calculated based on the declared value of the shipment
- Insurance claims must be filed with the carrier in accordance with their policies
Our liability for lost or damaged shipments is limited to the coverage provided by the shipping carrier. We will assist in filing carrier claims when applicable, but we cannot guarantee claim approval or reimbursement.
For high-value orders, we recommend purchasing additional shipping insurance if available at checkout.
14. Delays and Exceptions
14.1 Peak Seasons and High Volume
Processing and delivery times may be extended during peak seasons, including:
- Holidays (Thanksgiving, Black Friday, Cyber Monday, Christmas, New Year's, 4/20, etc.)
- Promotional events and sales
- Back-to-school season
- Other high-volume periods
We will notify customers of significant delays via email when possible. During peak seasons, we recommend placing orders early to ensure timely delivery.
14.2 Carrier Delays
We are not responsible for delays caused by shipping carriers or circumstances beyond our control, including:
- Weather conditions or natural disasters
- Carrier operational issues or service disruptions
- Customs delays (not applicable for domestic U.S. shipments)
- Government actions or regulations
- Labor disputes or strikes
- Acts of God or force majeure events
Estimated delivery times are provided by the carriers and are not guaranteed. We will do our best to keep you informed of any significant delays, but we cannot control carrier performance.
14.3 Supplier and Fulfillment Delays
Processing times may be longer due to supplier or fulfillment partner delays, including:
- Product availability or stock issues
- Fulfillment center operational issues
- Supplier delays or backorders
- High order volume
We will notify you via email if your order is delayed due to supplier or fulfillment issues. You will have the option to wait for the product to become available or cancel your order for a full refund.
15. Risk of Loss
Risk of loss and title for products purchased from HerbanVault pass to you upon delivery confirmation by the shipping carrier.
This means:
- You assume all risk of loss or damage to products after the carrier confirms delivery
- We are not responsible for packages that are lost, stolen, or damaged after delivery confirmation
- You are responsible for providing an accurate and secure delivery address
- You should take appropriate measures to ensure safe delivery (e.g., signature confirmation, secure location)

16. International Shipping
We do not offer international shipping at this time.
We ship only to addresses within the United States, including:
- All 50 U.S. states (where legally permitted)
- PO Boxes (USPS only)
- Military addresses (APO/FPO/DPO)
- Alaska and Hawaii
We do NOT ship to:
- Canada
- Mexico
- International addresses
- U.S. Territories (Puerto Rico, Guam, USVI, etc.)
Orders placed with international addresses will be canceled and refunded.
